  • Performs administrative duties for BD’s global Public Affairs team and the Senior Vice President, Public Affairs.
  • Manages the operations of BD’s Washington, DC office and responsible for handling needs and concerns that may arise within the department such as computer related issues, corporate cards, maintains office supplies, etc.
  • Coordinates/organizes various meetings including meetings with government officials, visits from executive leadership and any other events held at BD’s Washington, DC office.
  • Maintains the calendar of the Senior Vice President, Public Affairs and the Public Affairs team. Uses good judgment in scheduling all meetings and other pertinent calendar events. Sends out appropriate notification/documentation to attendees.
  • Exercises independent judgment in the establishment of priorities. Must be able to work independently. Maintains a high degree of confidentiality in dealing with all correspondence, reporting, presentations, Public Affairs related materials, etc. Works closely with Central, Regional and Business Unit teams.
  • Coordinates travel plans for Senior Vice President, Public Affairs. This includes flight arrangements, train reservations, hotel, rental car, limo services, etc. Also makes necessary arrangements for international travel including visa applications and any other information needed when traveling abroad (i.e. medical information). Prepares itineraries for travel and gathers pertinent information necessary for the trip.
  • Manages/process expense reports for the Senior Vice President, Public Affairs.
  • Maintains all files and other pertinent correspondence to be retained. Exercises good judgment in the retention, routing and destruction of data.
  • Performs all administrative duties including emails, letters, and other necessary materials.
  • Maintains personal computer skill levels with current technology used at BD.
  • Coordinates orientation schedule, office or cube location, computer/phone set-up for new hires.
  • Other ad hoc support requests as necessary including (but not limited to): requests for gathering or consolidating data, occasional note-taker in meetings.
About You:
  • Minimum of a High School Diploma with formal training or equivalent work experience required. College degree preferred.
  • At least 7-seven plus years experience as an Assistant supporting senior executives in a globally organization required.
  • A high-level proficiency with Microsoft office applications (Outlook, Word, Excel and PowerPoint) required.
  • Confidentiality is a must - this role will have access to highly confidential data (both financial, organizational, and personal) and this individual must be trusted to maintain confidentiality of this information at all times.
  • Excellent calendar/meeting management required.

  • Proficient with SAP and/or Workday and Concur.
  • Knowledge with scheduling domestic and international business travel and accommodations (including passports, visas, etc.), preparing, reconciling, and maintaining expense reports.
  • Must be able to project and present a professional image of the Public Affairs function both internally and externally to BD.
  • Be someone who fosters a positive team atmosphere with a willingness to cooperate with other members of the admin team when required.
  • Be flexible to ad hoc requests for support even if it’s not listed above for the good of the function and the business.
